Commercial Roof Maintenance: What a Good Plan Should Include

Roof maintenance is the least exciting line in a building budget and one of the best returns on it. A few hours on the roof twice a year keeps drains open and details sealed, and it keeps water out of the insulation. That is what decides whether a roof lasts its full life. Here is what a plan should include.

The seasonal schedule for Ohio roofs

WhenFocus
Spring (March – May)Freeze-thaw damage: seams, flashings, sealant joints, ice and snow-removal damage. Clear drains before the storm season.
After severe stormsHail bruising, wind-lifted edges and corners, debris and limbs. Photograph for insurance.
Fall (October – November)Leaf drop: clear drains, scuppers and gutters. Seal open details before winter.
Winter, as neededWatch drains and snow load; avoid shovels and spikes on the membrane.

What a maintenance plan should include

  • A full inspection each visit, covering the same checklist as our inspection guide
  • Drain, scupper and gutter clean-out every visit
  • Debris removal: branches, trash and loose equipment parts
  • Minor repairs included: small seam repairs, resealing pitch pockets and termination bars, small patches
  • A photo report after every visit, with larger repairs priced separately
  • A remaining-life estimate updated each year, for capital planning

What a plan shouldn't do

A maintenance plan shouldn't be a way to sell repairs you don't need. Look for one that prices larger work separately with photos and a reason for each item, and that lets you approve or decline each item. Be wary of plans that coat or "restore" the roof as routine maintenance without a moisture survey first.

Control roof traffic

A surprising share of membrane damage comes from people with every right to be up there: HVAC techs, sign installers, cable crews. Simple rules help a lot:

  • Walkway pads to and around rooftop units
  • A sign-in log at the roof hatch
  • Trades asked to remove screws and panels from the roof and report damage
  • No snow shovels with metal edges, and no ice picks, on the membrane

How maintenance pays for itself

Wet insulation is what turns a repairable roof into a replacement. A roof whose insulation stays dry can usually be repaired for years, coated when the membrane ages (see are roof coatings worth it?), and replaced on your schedule rather than after a ceiling comes down. It also keeps a documented record that manufacturer warranties often expect.

The bottom line

Two visits a year, plus storm checks, with drains cleared, small details sealed and a photo report each time. That is the plan. See our inspection and maintenance service, and how long a flat roof lasts with and without it.

Questions & Answers

Frequently asked questions

Scheduled inspections, drain and gutter clean-outs, removing debris, resealing small gaps at flashings and penetrations, repairing minor seam and membrane damage, and keeping a photo record of the roof’s condition.

It varies with roof size, access and the number of visits. Many plans are priced per visit or per square foot per year, with repairs beyond minor work quoted separately. Compared with a roof replacement, it is a small fraction of the cost.

Yes. Most roofs that fail early do so at a few neglected details: a clogged drain, an open seam, a cracked pitch pocket. Catching those small problems keeps water out of the insulation, and dry insulation is what lets a roof reach the end of its rated life, or be coated instead of torn off.

Limit access to people who need to be there, keep a sign-in log, and ask trades such as HVAC techs to use walkway pads and report any damage. A lot of membrane damage comes from service traffic.
